Reading Retreat Terms & Conditions

Eligibility

  • Guests must be 18 years of age or older at the time of booking.
  • We reserve the right to verify identity to uphold the integrity of the women-only space.

Booking & Payment

  • Registration is confirmed on receipt of deposit/full payment including deposit.
  • Deposits are non-refundable.
  • Full payment must be received by the specified deadline to secure your spot.
  • Prices & payments are in GBP and payments made in other currencies may be subject to conversion fees/charges.
  • Payments are accepted via Stripe.

Cancellation & Refund

  • Cancellations made 30 days or more before the retreat start date will receive a full refund minus any transaction fees & deposit.
  • Cancellations made less than 30 days before the retreat start date are not eligible for a refund.
  • Refunds will be processed within 10 days of receiving the cancellation request.
  • A £400 deposit per person is required to secure your spot and is included in the full price.
  • If utilising payment plan, a £400 deposit per person is required at booking to secure your spot. The full balance can be paid in 2 instalments with the final payment due 30 days before the retreat start date. Invoices will be sent via e-mail.
  • If full payment is not received by the date specified, the full balance paid up to that point will not be refunded. 
  • We are not responsible for cancelled, delayed, or missed transportation (incl. flights, trains, buses, etc), and no refunds will be issued in relation to travel disruptions caused by airlines, airports, trains, buses or other means of transport, or personal circumstances. 

Shared Occupancy Policy

  • When booking a shared occupancy room both guests are responsible for the total cost of the room. If one guest can no longer attend the remaining guest has the following options:

  1. Find a replacement  - the replacement must be approved by the organiser and is subject to availability & suitability.
  2. Upgrade to solo occupancy - if no suitable replacement is found then the remaining guest is required to pay the difference of the shared occupancy rate and the solo occupancy rate in order to retain the room and booking. 

  • Failure to do either of the above options may result in the forfeit of the booking in accordance with the standard cancellation policy.

Organiser Cancellation

  • We reserve the right to cancel the retreat due to the following circumstances:

  1. Insufficient Numbers - if the minimum number of guests required to run the retreat is not met.
  2. Force Majeure - due to circumstances beyond our reasonable control including but not limited to natural disasters (floods, wildfires), extreme weather events, government imposed travel restrictions.
  3. Other - in rare instances we may need to cancel the retreat due to unforeseen circumstances such as venue related issues or staff illness.

If we cancel the retreat

  • you will be notified as soon as possible.
  • you will be offered a full refund.
  • you may choose to transfer your payments to a future retreat (subject to availability).

Please note we are not responsible for any additional costs incurred (e.g., travel expenses, loss of income, etc). We encourage you to obtain flexible travel options and appropriate insurance to cover such risks.

Itinerary/Location Changes

We reserve the right to make reasonable changes to the retreat itinerary, scheduled activities, facilitators, or venue if necessary due to factors beyond our control (e.g., weather, vendor issues, safety concerns, or participant needs). 

  • In the event of a location change, we will provide as much notice as possible and ensure the alternative is of equal or higher quality.
  • No refunds will be issued due to minor itinerary or location adjustments.
  • Significant changes (e.g., location more than 50km away or major schedule reduction) may be eligible for partial refunds or transfer to a future retreat (if available).

Participant Responsibilities

  • Participants are required to organise and fund their travel to and from the retreat.
  • Participants must inform the organiser of any medical conditions, allergies, or dietary needs no later than 30 days before retreat start date. 
  • Any damage-loss of property will be the responsibility of the participants involved.
  • Participants are responsible for their own health & well-being during the retreat.

Please note, we reserve the right to refuse participation to anyone who poses a safety risk. 

Code of Conduct

To ensure a peaceful & respectful space:

  • Maintain a quiet environment in communal areas during designated reading & rest times.
  • No disruptive behaviour, illegal activities, or harassment of any kind will be tolerated.
  • No outside alcohol is to be brought into the retreat.

Please note we reserve the right to remove any participant(s) violating this code, without refund. 

Media Release

  • Unless the participant opts out in writing, they grant us permission to take photos or video footage of the event for promotional purposes. You may request not to be photographed. 

Liability Waiver

  • By booking your place, you accept full responsibility for your actions & well-being during the retreat.
  • You release the organisers from liability for injuries, losses, or damages unless caused by gross negligence. 

Governing Law

  • These terms and conditions are governed by the laws of the United Kingdom.
  • Disputes arising from the retreat shall be resolved in England in accordance with the rules of the Central Arbitration Committee.

We reserve the right to amend these Terms and Conditions. Any changes will be posted on the website.


By registering for the retreat, participants acknowledge that they have read, understood, and agreed to the above terms and conditions.
